Ilmy ("we", "our", "us") is a school management and student pickup coordination application designed to improve safety, communication, and operational efficiency between schools, parents, teachers, guards, transport providers, and school administrators.

a) Personal Information

We may process the following information as part of providing the Ilmy service:

  • User name

  • Mobile number (where applicable)
  • User role (e.g. Parent, Teacher, Guard, Transport Driver, School Administrator)
  • School affiliation
  • Student information (such as student name, class, and assigned activities), which is provided and managed by the school or authorised guardians

User accounts and core profile information are created and managed by the school through the administrative system, and are made available in the Ilmy app solely to support school operations and safety-related workflows.

Student information is used strictly for school operations and student safety purposes and is not used for advertising or profiling.

b) Location Information

Ilmy may collect approximate location data when:

  • A pickup request is initiated by a parent or transport provider
  • A user approaches the school vicinity for pickup validation

Location data is used to:

  • Validate pickup requests
  • Ensure the requester is within the allowed distance
  • Improve student safety and operational accuracy

Location data is not tracked continuously and is accessed only when required for app functionality.

c) Camera Access (QR Code Scanning)

Ilmy requires access to the device camera solely for:

  • Scanning QR codes during student pickup verification
  • Confirming authorized pickup users

Important notes:

  • Camera access is used only for QR code scanning
  • No photos or videos are recorded, stored, or transmitted
  • Camera access is activated only when the user initiates a scan

d) Notifications

Ilmy uses notifications to:

  • Inform teachers, guards, parents, and transport users about pickup requests
  • Provide real-time updates on pickup status (approved, on-hold, completed)

Notifications may include limited information such as student name, pickup status, and role-based action prompts.

e) Technical and Usage Information

We may collect limited technical information including:

  • Device type and operating system version
  • App version
  • Error logs and crash reports

This data is used solely to:

  • Improve app stability and performance
  • Diagnose technical issues
  • Enhance user experience

2. How We Use the Information

We use collected information to:

  • Facilitate safe and verified student pickup processes
  • Enable communication between school staff and parents

  • Student accounts are managed by schools and parents
  • Children do not create accounts or provide consent directly
